HVAC CRM and Marketing Automation That Works With Housecall Pro: From First Ring to Five-Star Review

Housecall Pro runs the schedule. Something still has to run every conversation around it. This is the CRM and automation setup we use for an HVAC company with more than 6,000 customers — what syncs, what sends, and the rules that keep it from turning into noise.

Three phone screens from scoophvac.com side by side: the mobile homepage for whole-home Mitsubishi heat pumps, the Heating Cost Calculator start screen, and the Customer Portal login — all connected to one CRM

The short answer: An HVAC company needs two systems that talk to each other: field service software for jobs, dispatch and invoices, and a CRM for every conversation with the customer. Housecall Pro is excellent at the first. It is not built to be your marketing and communication engine. The setup Media Pillars runs for Superior CO-OP HVAC keeps Housecall Pro as the single source of truth for the schedule and puts a CRM, which we call the Command Center, on top of it for calls, texts, chat, reminders, estimate follow-up, review requests, newsletters and reactivation. Customer records sync automatically, and every customer message comes from one place.

Why HVAC companies end up with a mess of tools

A typical growing HVAC company has a phone system, a separate texting app, Housecall Pro or similar for jobs, an email tool for newsletters, a review service, a chat widget on the website, and a spreadsheet for leads that never booked. Each one was a good idea on its own. Together they mean the customer gets three different reminder texts from three different numbers, nobody knows who answered the chat, and the leads that did not book in March are forgotten by April.

We described this pattern for all local businesses in how your marketing works together from one place. HVAC has its own wrinkles, mostly because the schedule is so central. Here is how we wire it.

The rule that makes it work: one job per system

Housecall Pro ownsCustomers, jobs, estimates, the schedule, dispatch, the technician’s “on my way” text, invoices and payments. All appointments are booked, moved and canceled there.
The Command Center ownsCalls, texts, chat, email, the AI receptionist, confirmations and reminders, estimate follow-up, review requests, newsletters, reactivation campaigns and the sales pipeline.

Information flows from the schedule to the communication layer, so there is never a second calendar to keep in sync and never a duplicate reminder. When we connected Superior, we switched off Housecall Pro’s own scheduled and reminder texts and kept only the technician’s “on my way” and “finished” messages there. Every other customer message comes from one registered company number.

What syncs between Housecall Pro and the CRM

  • New contacts created in the CRM (from a call, chat, form or calculator) become Housecall Pro customers once the address is known, so the record arrives complete.
  • Contact changes such as a new email or phone number update the matching Housecall Pro customer, matched by a stored customer ID so nothing duplicates.
  • Jobs and estimates scheduled in Housecall Pro update the CRM contact with the appointment type, date, arrival window and assigned person, and start the reminder sequence.
  • Reschedules reset the reminders automatically.
  • Estimate events such as sent, approved, declined and converted to a job tag the contact and move the sales pipeline.
  • Finished jobs stop reminders and, for paid work, start the review request.

Backfilling an existing customer list is done in bulk. Superior’s Housecall Pro holds more than 6,000 customers; the sync handles them without anyone re-typing a record.

Appointment confirmations and reminders

When a job or estimate is booked, the customer gets a confirmation text immediately, a reminder the day before and another two hours before the arrival window. Reminders say “Reply CHANGE” if they need to move it. Replies create an office task and pause reminders. The office reschedules in Housecall Pro, and the new time flows back automatically. Fewer no-shows, fewer “what time are you coming?” calls.

Estimate follow-up that runs itself

Open estimates get a business-hours sequence of texts and email over two weeks, with a call alert to the rep at day seven, and it stops the moment the customer replies or approves. The rep who wrote the estimate gets approved and declined notices, with the office copied. The full breakdown, including real-time estimate open alerts, is in our HVAC estimate software post.

Review requests only after paid work

Asking for a Google review after a phone call or a free estimate annoys people and produces weak reviews. Superior’s rule: review requests go out only when a paid job (installation, maintenance or repair) is marked finished in Housecall Pro. Two days later the customer gets an email with the review link, then a text the next day if they have not responded. Requests come from the company, not from whichever employee happens to own the contact. Steady, genuine reviews after real work are what move Google Maps rankings and what AI assistants read when deciding who to recommend.

Calls, texts and chat in one inbox

Every phone number the company owns (main line, AI line, sister-brand line) is in the Command Center, labeled by brand. Calls ring the office first during business hours and roll to the AI receptionist after about 25 to 30 seconds or after hours. Texts and website chat land in the same conversation view. When staff call a customer back from their own cell phone, the conversation history is still there for whoever picks it up next. The AI side is covered in detail in the AI receptionist post.

Seasonal newsletters that build themselves

HVAC marketing is seasonal: pre-season tune-ups, heating-season readiness, cooling-season prep, rebate deadlines. The newsletter system picks a timely topic for the region, chooses the right segment of contacts, and builds the campaign. The owner gets one notification to approve it before it sends. No blank-page Mondays.

Waking up the leads that never booked

Every HVAC company is sitting on hundreds or thousands of past estimates, old customers due for maintenance and people who called once and never booked. A reactivation campaign works through that list with a short, specific offer and books the responses. It is often the fastest revenue in the whole setup because the leads already know you. See database reactivation campaigns.

Lead sources you can actually trust in GA4

Every lead entry point (calls, chat, calculator reports, booking, forms) is tagged so the source survives into the CRM and into Google Analytics 4. That lets an owner answer the question that matters: which marketing produced booked jobs, not just clicks. We wrote a GA4 checklist for exactly this.

Design rules we hold every HVAC automation to

  • Nothing gets missed. Every failure path, such as a dropped call, a failed booking or an unanswered chat, ends in a clear alert with what happened and what to do.
  • No duplicates. Two workflows never fire on the same event. One reminder, one confirmation, one review request.
  • No notification flood. Internal alerts go to the person who owns the customer, with the office copied, not to everyone.
  • One source of truth for the schedule. Appointments live in the field service software only.

What if we use ServiceTitan, Jobber or another platform?

The Superior build is on Housecall Pro. Many of the same connections are possible with other field service platforms, depending on what their API and webhooks expose. On the walkthrough call, tell us what you run and we will tell you exactly what can and cannot sync, before you spend anything.

How Media Pillars delivers it

This is a done-for-you service, not software you have to learn to configure. We set up the Command Center, connect Housecall Pro, port or add your numbers, build the automations to your rules, train your office on the inbox, and manage it month to month. The front office plans (Never Miss A Lead, Front Office AI, Get Found Everywhere and Market Leader) are priced on our pricing page. For companies that want everything stood up at once, our Install Day puts us on site for a full day. HVAC-specific integrations are scoped after a 15-minute walkthrough. Call or text (518) 777-2263 to book one; the AI that answers will schedule it.

Also in this series: the heat pump savings calculator and HVAC website design with interactive tools.

Disclosure: Media Pillars founder Frank Davis is also Sales & Marketing Manager at Superior CO-OP HVAC, where this CRM and Housecall Pro setup runs daily. Housecall Pro is a trademark of its owner; Media Pillars is not affiliated with Housecall Pro.

Frequently asked questions

Do HVAC companies need a CRM if they already use Housecall Pro?

Usually, yes. Housecall Pro is built for jobs, dispatch and invoicing. A CRM handles every customer conversation and the marketing around the schedule: calls, texts, chat, reminders, estimate follow-up, review requests, newsletters and reactivation of past leads.

Can a CRM sync with Housecall Pro?

Yes. Contacts can be created and updated in Housecall Pro from the CRM, and scheduled jobs, estimates, estimate status changes and finished jobs can flow back to trigger reminders, follow-up and review requests.

Should appointment reminders come from Housecall Pro or the CRM?

Pick one so customers never get duplicates. In the Superior setup, reminders and confirmations come from the CRM on one registered company number, and Housecall Pro sends only the technician’s on-my-way and finished messages.

When should an HVAC company ask for Google reviews?

After paid work is completed: installations, repairs and maintenance. Superior sends the request two days after a paid job is marked finished, by email first and then by text, and does not ask after free estimates or phone calls.

What HVAC automations save the most time?

Appointment confirmations and reminders, automatic estimate follow-up, review requests after paid jobs, missed-call and dropped-chat rescue texts, and a reactivation campaign for old estimates and lapsed maintenance customers.

Can this be set up for an HVAC company outside New York?

Yes. The CRM, automations and integrations are delivered remotely for HVAC companies anywhere in the United States, with an optional on-site Install Day.
