AI Integration for Small Business. We Set It Up, Connect It and Run It.
Every owner has been told to "use AI." Almost nobody has time to figure out which tool, how to connect it to the phone, the calendar and the books, and who keeps it working. That is what we do. You keep the tools you have; we put AI to work inside them.
What it is
AI integration is connecting AI to the jobs your business already does every day — answering the phone, replying to a web lead, booking the appointment, sending the reminder, asking for the review, chasing the estimate — so those jobs run on their own. Media Pillars does it for you: we pick the pieces, connect them to Housecall Pro, Kickserv, Square, Google Workspace and others, train everything on your business, and monitor it every day. No software to learn, nothing to babysit.
Who it's for
- Owners who answer the phone from the truck or the job site
- Offices where one person handles calls, scheduling and follow-up
- Businesses already on Housecall Pro, Kickserv, Square or Google Workspace
- Anyone who tried a chatbot or a Zapier build and it quietly stopped working
- Law offices, insurance agencies, restaurants, shops and clinics — not just trades
- Any owner who wants AI working without becoming the IT department
What you get
One managed system, connected to what you already run.
Connected to your existing tools
Housecall Pro, Kickserv, Square, Google Workspace, Google Business Profile, WordPress, QuickBooks, Zapier and others. No migration, no re-entering customers.
Calls, texts and chat answered
An AI receptionist on your current number, missed-call text-back in seconds, and website chat — all one conversation, all logged.
Follow-up that runs itself
Every lead gets a reply, a reminder and a nudge on a schedule you approve. Estimates that went quiet get chased. Nothing sits forgotten.
Daily operations handled
Appointment confirmations and reminders, review requests after every job, invoice reminders and seasonal outreach — sent from your list without you writing a word.
Built by the people who get you found
The same agency that manages your website and Google listing runs the AI, so the front door and the front office are one system.
One app, one owner, monitored
Inbox, calendar, pipeline and reviews in the free Media Pillars app. Frank watches the system and tunes it; you watch the results.
What we connect
If your business runs on one of these, there is no migration and no learning curve. We build, connect and manage in place.

Live, monitored, tuned
We read the transcripts and results during the first weeks and tighten answers, routing and timing. You keep doing the work that pays.

What AI Integration Means for a Local Business
Big companies talk about AI integration as a data project. For a plumber, a law office or a restaurant it is much simpler: the phone gets answered, the web lead gets a reply in seconds instead of tomorrow, the appointment lands on the calendar with a reminder, the review request goes out after the job, and the estimate that went quiet gets a follow-up. Each of those is a place where a customer is won or lost, and each can now run on its own.
The catch is that none of it works as a pile of separate tools. An AI receptionist that cannot see your calendar takes messages. A chatbot that does not know your services makes things up. A Zapier build nobody maintains breaks the first time a field changes. Integration is the work of making the pieces one system — and keeping them that way.
Done For You, Not Do It Yourself
Media Pillars is not selling software for you to configure. We have designed and managed websites and Google listings for local businesses across Upstate New York and Vermont since 2015; the AI front office is the newest layer on that work. We choose the pieces, connect them to Housecall Pro, Kickserv, Square, Google Workspace, QuickBooks, WordPress and others, train everything on your hours, services, pricing rules and service area, then watch it daily and tune it.
You get one app on your phone with every conversation, appointment and review in it. You get the owner's direct line. You do not get a login to a workflow builder.
What Gets Integrated, By Trade
- HVAC, plumbing and electrical: after-hours and overflow calls answered and booked into Housecall Pro or Kickserv, emergency jobs flagged to a person, maintenance reminders by text each season.
- Landscaping, tree and excavation: estimate requests captured from web and phone, quotes followed up automatically, spring and fall campaigns to past customers.
- Law offices and insurance agencies: intake questions asked before a consultation is booked, calendar holds with confirmations, document reminders, review requests after a closed file.
- Restaurants, retail and venues: reservation and catering inquiries answered 24/7, gift-card and event follow-up, Square customers brought into your list for offers.
- Clinics, salons and studios: booking and reminders that cut no-shows, waitlist texts, review requests that keep the Google rating current.

Common questions
What does "AI integration" mean for a small business?
It means connecting AI to the tools and jobs you already have — your phone line, website chat, calendar, CRM, invoicing and review requests — so the routine work happens without a person doing it. For a local business that usually starts with answering calls, following up with every lead and booking appointments, then grows into reminders, estimates follow-up and seasonal outreach.
Do I have to learn new software?
No. That is the point of done-for-you. We build it, connect it to what you already use, train it on your business and monitor it. You see everything in one app on your phone; we handle the settings.
Which tools can you connect?
Housecall Pro, Kickserv, Square, Google Workspace, Google Business Profile, WordPress and WooCommerce, HighLevel, QuickBooks, Google Calendar, Zapier and others. If your tool has a calendar, a contact list or an email in it, we can usually connect it. Tell us what you run and we will confirm on the walkthrough.
Is this a one-time project or a monthly service?
Both are available. The monthly plans cover the standard connections — phone, chat, calendar, CRM, reviews — and we keep them running. Larger or unusual integrations are quoted as a flat, one-time project in writing before we start.
How is this different from an AI automation agency?
Most automation agencies build a workflow, hand it over and leave. Media Pillars is a marketing agency that has managed websites and Google listings for local businesses since 2015; the AI is one more thing we run for you, month to month, alongside getting you found. And the owner is on the phone, not a project manager.
Will it work with my existing phone number?
Yes. Your number stays exactly as it is on your trucks, signs and Google listing. We add the intelligence behind it — the AI answers on the rules you choose, or texts back instantly when you miss a call.
How long until it is running?
Most businesses are live within seven days of a 15-minute walkthrough. The setup fee is waived when you start within seven days of that call.
What does it cost?
Plans start at $197 a month; most trades and service businesses choose Front Office AI at $397 a month. Everything is month to month with 30 days' notice. Custom integrations beyond the plan are quoted flat.
Do you serve businesses outside Upstate New York?
Yes. Almost everything is remote — build, training and monitoring — so we serve clients across New York, Vermont, the Catskills and nationwide, including long-term clients in Florida, Maryland and Pennsylvania.
