How Local Businesses Automate Without Losing the Human Touch

A Practical Guide and Workshop Workbook for Small-Business Owners

By Frank Davis — owner of Media Pillars LLC, 23-year military logistics veteran, NYS SDVOB-certified

Most automation advice starts with a product. This book starts with your phone, your calendar and the call that went sideways last Tuesday. It is a short, plain-spoken workbook for owners who want the busywork handled without handing their customers to a robot.

  • 88 pages
  • 6 × 9 workbook
  • Reads in about an hour
  • Lined pages + AI prompts

The short version

Decide what is broken before you shop for a fix. Give every automated step a person whose name is on it. Judge a tool by how it handles a furious customer and a caller who smells gas — not by how it looks in a sales demo. Then run one change for thirty days and make a clear call: keep it, fix it, or shut it off.

Who it is written for

  • HVAC, plumbing and electrical shops
  • Insurance agencies and law offices
  • Restaurants and retail storefronts
  • Owners in Upstate New York, Vermont and the Catskills who answer their own phone more than they would like

What’s inside

Five chapters and a plan. Each one ends with space to write and a prompt to try with an AI assistant.

  1. Pick the problem

Find the one leak — missed calls, slow quotes, no-show appointments — that costs you the most, and name it before anyone sells you anything.

  2. Use the tools you already have

Your phone system, calendar and Google account can do more than you think. Squeeze them first; buy second.

  3. AI reception and intake

How an AI receptionist should greet, sort and hand off callers — and the emergency calls it must never fumble.

  4. Getting found in Google and AI search

What it takes for Google, Maps and assistants like ChatGPT to name your business when a neighbor asks for help.

  5. Keeping humans in charge

Owners, handoffs and check-ins, so every automated step has a person accountable for it and customers can always reach one.

  6. The 30-day action plan

One improvement, four weeks, a simple scorecard — then a keep, fix or stop decision you can defend.

Read it in an hour, work it in an afternoon

This is a workbook, not a lecture. The reading is quick on purpose. The value is in the lined pages, where you write down your own numbers, your own callers and your own rules. The “Try This With AI” prompts let you test ideas on your laptop in minutes, so by the end of one afternoon you have a written plan for your business — not a highlighted copy of someone else’s.

About the author

Frank Davis

Frank spent 23 years in military logistics, where a plan only counted if it worked when things went wrong. He brought that habit to Media Pillars LLC, the veteran-owned marketing agency he has run from Granville, NY since 2015, and to the HVAC companies where he manages sales and marketing day to day.

Media Pillars is a New York State certified Service-Disabled Veteran-Owned Business (SDVOB). Frank works with local service businesses across Upstate New York, Vermont and the Catskills, and wrote this book to give owners the straight version of what automation can and cannot do for them.
