Media Pillars LLC (“Media Pillars,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website at www.mediapillars.com and our mobile application available on the Apple App Store and Google Play Store (collectively, the “Platform”).

Please read this policy carefully. By using the Platform, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please discontinue use of the Platform immediately.

1. Information We Collect

1.1 Information You Provide Directly

When you register for an account or use the Platform, we collect information you provide directly, including:

  • Name — your full name used to create and identify your account
  • Email address — used for account login, receipts, and communications
  • Phone number — used for account verification and platform notifications
  • Business information — such as your business name, type, and service area
  • Payment information — billing details processed securely through Stripe; Media Pillars does not store full card numbers

1.2 Information Collected Automatically

When you use our mobile application or website, we and our service providers may automatically collect:

  • Device information — device type, operating system version, and unique device identifiers
  • App usage data — features accessed, time spent, and interaction patterns within the app
  • Log data — IP address, browser type, pages visited, and timestamps when using our website
  • Crash and performance data — error logs collected to improve app stability

1.3 Push Notifications

With your permission, we send push notifications to your mobile device to deliver alerts about leads, messages, appointments, and account activity. You can manage push notification preferences at any time through your device settings (iOS: Settings → Notifications → Media Pillars; Android: Settings → Apps → Media Pillars → Notifications). Disabling notifications does not affect your ability to use the Platform.

1.4 Information We Do Not Collect

We do not collect the following through our mobile application:

  • Location or GPS data
  • Camera or photo library content
  • Contacts or address book data
  • Microphone or audio recordings
  • Biometric data of any kind

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Account management — to create, maintain, and secure your account
  • Service delivery — to provide the features and functionality of the Platform
  • Billing and payments — to process subscription fees and usage charges through Stripe
  • Communications — to send account receipts, service updates, support responses, and push notifications
  • Platform improvement — to analyze usage patterns and improve the performance and features of the Platform
  • Security — to detect, investigate, and prevent fraudulent or unauthorized activity
  • Legal compliance — to comply with applicable laws, regulations, and legal obligations

We do not use your personal information for targeted advertising and we do not sell your personal information to any third party.

3. How We Share Your Information

Media Pillars does not sell, rent, or trade your personal information. We share your information only in the following limited circumstances:

3.1 Service Providers

We share information with trusted third-party service providers who assist us in operating the Platform. These providers are contractually obligated to use your data only as directed by us and in accordance with this Privacy Policy:

  • GoHighLevel — platform infrastructure and CRM functionality
  • Stripe — payment processing and subscription billing
  • Twilio — SMS and voice communication delivery
  • Mailgun — email delivery services
  • Apple / Google — push notification delivery through their respective notification infrastructure (APNs / FCM)

3.2 Legal Requirements

We may disclose your information if required to do so by law or in response to valid legal process (such as a court order or subpoena), or when we believe disclosure is necessary to protect the rights, property, or safety of Media Pillars, our clients, or the public.

3.3 Business Transfers

In the event of a merger, acquisition, sale of assets, or business restructuring, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on the Platform prior to any such transfer and any change to this Privacy Policy.

4. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Platform services. We also retain data as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.

When you delete your account, we will delete or anonymize your personal information within 30 days, except where retention is required by law or legitimate business necessity (such as financial records required for tax compliance).

5. Your Privacy Rights and Choices

Depending on your location and applicable law, you may have the following rights regarding your personal information:

  • Access — request a copy of the personal information we hold about you
  • Correction — request correction of inaccurate or incomplete information
  • Deletion — request deletion of your personal information (see Section 6 below)
  • Portability — request a copy of your data in a portable, machine-readable format
  • Opt-out of communications — unsubscribe from marketing emails at any time using the unsubscribe link in any email
  • Push notification opt-out — disable push notifications at any time through your device settings

6. Account and Data Deletion

You have the right to delete your account and associated personal data at any time. You can do this in two ways:

  • In-app deletion: Navigate to Account Settings → My Profile → Delete Account within the Media Pillars mobile app. Confirming deletion will immediately begin the removal of your account and associated data.
  • By email: Send a deletion request to frank@mediapillars.com with the subject line “Account Deletion Request.” Please include the name and email address associated with your account.

Upon receiving a verified deletion request, we will permanently delete your personal information within 30 days. Please note that some information may be retained for a limited period where required by law (such as billing records) or where legitimate business interests apply. Retained records will not be used for any other purpose.

Note for Apple App Store users: In accordance with Apple App Store guidelines, account deletion is available directly within the app as described above. You do not need to contact us separately to exercise this right.

7. Third-Party Services and Links

The Platform is powered in part by GoHighLevel, which provides the underlying CRM and marketing automation infrastructure. GoHighLevel’s own privacy practices govern data processed on their infrastructure. We encourage you to review GoHighLevel’s privacy policy at www.gohighlevel.com/privacy-policy.

The Platform may contain links to third-party websites or services. Media Pillars is not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party services you access through or alongside the Platform.

8. Apple App Store — Additional Disclosures

In compliance with Apple’s App Store guidelines and App Privacy requirements, the following summarizes our data practices as disclosed in the App Store privacy nutrition label:

  • Data used to track you: None
  • Data linked to you: Name, email address, phone number, user ID, and usage data
  • Data not linked to you: Crash data and app diagnostics

Our app does not use data to track you across other companies’ apps or websites. We do not share your data with data brokers. We do not use your data for third-party advertising.

9. Google Play Store — Additional Disclosures

In compliance with Google Play’s Data Safety requirements, the following summarizes our data practices as disclosed in the Play Store Data Safety section:

  • Data collected: Name, email address, phone number, app interactions, and crash logs
  • Data shared with third parties: Limited sharing with service providers (GoHighLevel, Stripe, Twilio, Mailgun) as described in Section 3
  • Data encryption in transit: Yes — all data transmitted is encrypted using TLS
  • Data deletion requests: Yes — users can request deletion in-app or by emailing frank@mediapillars.com
  • Independent security review: Not yet completed

10. Children’s Privacy

The Platform is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete such information promptly. If you believe a child under 13 has submitted information to us, please contact us at frank@mediapillars.com.

11. Data Security

We implement industry-standard technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • TLS encryption for all data transmitted between your device and our servers
  • Encrypted storage of sensitive account data
  • Access controls limiting employee access to personal data on a need-to-know basis
  • Payment data handled exclusively by Stripe, a PCI-DSS compliant processor

While we take reasonable precautions, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security of your data and encourage you to use a strong, unique password for your account.

12. New York State Privacy

Media Pillars LLC is based in Granville, New York. We comply with applicable New York State privacy laws, including the SHIELD Act (Stop Hacks and Improve Electronic Data Security Act), which requires us to implement reasonable safeguards to protect the security, confidentiality, and integrity of private information of New York residents.

New York residents may contact us at any time to request access to, correction of, or deletion of their personal information by emailing frank@mediapillars.com.

13. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of the sale of your personal information.

Media Pillars does not sell personal information. California residents may submit privacy requests by emailing frank@mediapillars.com with “California Privacy Request” in the subject line. We will not discriminate against you for exercising your CCPA rights.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:

  • Update the “Last Updated” date at the top of this page
  • Notify you by email to the address associated with your account
  • Display a notice within the mobile app for significant changes

Your continued use of the Platform after any changes to this Privacy Policy constitutes your acceptance of the updated policy. We encourage you to review this page periodically.
